Three Tips To  Boost Entries 

Keeping a list of rider email addresses has a number of benefits for your equestrian business. From simple announcements to sponsor highlights, keeping in touch with riders through email is a great way to increase your efficiency and productivity as a horse show or clinic Organizer.

Check out these best practices for using Email Correspondence to enhance your equestrian business communications.

 

1. Send an E-Blast

You can use programs like Mailchimp or Constant Contact to send E-blasts that help keep riders in the loop. 

When a rider shares his or her contact information with you, that means they would like to hear updates about your facility including horse show announcements and exciting news from around your arena.

Announcing an Upcoming Horse Show? Here are some things to consider including in your E-blast:

  • Opening/ Closing Dates for Entries
  • A Quality Description of Class/ Division Offerings
  • How to Enter
    • Offering online entries? Share the specific link where riders should enter & keep your wording simple.

#HelpfulHint: Consider whether you want entries to come to you electronically or by paper.
When a rider opens your E-Blast that includes a clickable link to enter online, they’re more likely to complete registration immediately. T

hat means less paperwork for you.

Remember: it’s easier to #GetOrganized if you have all Rider Entry details in the same place!
 Consider charging an additional fee for the hassle of dealing with paper entries and check payment processing.

2. Update Registered Riders

Send an email to all of your registered riders in the week leading up to your horse show or clinic. You will save a great deal of time answering individual riders questions by addressing the group with an email.

Be sure to include:

  • Ride times or a tentative schedule
  • Parking details
  • Contingency plans for inclement weather (if applicable)

3. Give Thanks

Send a follow-up email after your horse show, clinic, or workshop. It takes a village to successfully facilitate equestrian activities, and thank-you notes are always so appreciated.

You may want to:

  • Thank  volunteers or team members
  • Thank attendees for supporting your activity
  • Give shout-outs to sponsors

Remember: E-blasts are a great opportunity to recognize your team’s or activity’s sponsors. Email provides excellent visibility for businesses, and provide you with a clear platform to highlight existing partnerships. Don’t forget to mention how you use emails when talking with potential sponsors!
